Map the existing communication route
Does an occupant contact you directly, or does a manager handle maintenance and visits? Explain that process before adding a prospective buyer. Avoid creating competing instructions for people at the property.
Summarize the rental without exposing private records
Start with occupancy, general condition, and your reason for considering a sale. Save detailed agreements or financial information for a relevant private review. Personal tenant documents do not belong in the initial property inquiry.
Distinguish access approval from sale approval
The person arranging entry may not be able to discuss terms on the owner's behalf. Clarify the limits of each role. If you share ownership, agree how proposals will be considered rather than assuming the most responsive person speaks for everyone.
Plan continuity until the handover is confirmed
Management and care still need to continue while a sale is only being discussed. Ask how records, keys, deposits, and responsibilities would be addressed if a purchase advances, with appropriate advice for the arrangements that apply.
